Description
A leading Architectural firm based in Dubai is looking to hire a Receptionist with the below mentioned roles and responsibilities.
• Answer, screen and forward any incoming phone calls while providing information when needed
• Updates and maintains phone lists.
• Make International Calls/Conference Calls per employee/s request. Ensure to log calls lists
• Serve visitors by greeting, welcoming, directing and announcing them appropriately, Deal with queries from the public, visitors and staffs
• Monitor visitor access and maintain security awareness
• Receive sort and deliver to appropriate department daily mails/deliveries/couriers
• Prepare / Book all outgoing documents/package/s for courier
• Arrange daily drivers’ task
• Provides complex travel arrangements for all staff.
• Maintains confidentiality and uses a high degree of discretion.
• Works in a professional and focused manner to schedule internal and external meetings
• Acts as a liaison with landlord and building management on any office-related issues.
• Maintains physical and electronic office filing systems
• Ensure knowledge of staff movements in and out of organization
• Maintains safe and clean reception area by complying with procedures, rules, and regulations
• Organize and coordinate meeting room bookings. Ensure meeting room cleanliness at all times
• Update company directory, check new employee mobile # with HR
• Monitor, Maintain & Order Office Supplies
• Control Inventory relevant to reception area
• Monitor & Update Devices for Testing Tracker
• Process Business Card Request from staff
Qualifications:
• Proficient in English (oral and written)
• Excellent knowledge of MS Office ( Excel and Word)
• Customer Service Orientation
• Multitasking and time management skills, with initiative and ability to prioritize tasks.
• Professional attitude and appearance
• Proven work experience as Front Desk Representative or similar role
